Position Summary

The Donor Database Management Specialist reports to the Sr. Manager, Donor Relations. The Donor Database Management Specialist uses their CRM software, develops, and implements policies/procedures, produces reports, directs data analysis, streamlines department data recording and ensures a secure and efficient environment for collecting data.  Your experience on how data can tell a story and how it impacts the team approach to fundraising opportunities. You will also support the External Relations Team with special projects. 

Essential Duties and Responsibilities

Data Entry and Integrity

  • Maintain the health and security of the donor database including but not limited to creating and implementing prospect records, relationship tracking, affinity measures, gift coding, record coding, user security rights, address updating, and ongoing record clean up. 
  • Process pledges, provide Finance Department with pledge notification forms, prepare pledge reminders, and oversee the collection of outstanding pledges.
  • Manage reconciliation process with the Finance Accounts Receivable team. Ensure accurate and consistent communication of gift coding, provide daily, weekly, and monthly reports, and participate in monthly reconciliation face to face meetings.
  • Create and produce timely acknowledgement letters for all gifts and follow through with all administrative responsibilities of these steps including letter scanning, recording, and connecting gift documentation to the CRM database.

Reporting and Analysis

  • Create and disseminate weekly, bi-weekly, monthly, and annual reports for the External Relations Team, and Executive Leadership Team.
  • Analyze the information gathered into useful tools for Fund Development staff and prospect research; organize and maintain analyses and reports for regular, systematic distribution and, upon request, retrieval of archived information.
  • Identify trends in giving patterns to inform future solicitations and adapt annual fund strategies as needed to reach annual goals. This includes management of constituent, campaign, solicitation, and designation donor behavior.

Fund Development Operations

  • Train all newly hired External Relations/Fund Development staff on the usage of CRM database and provide technical support when needed.
  • Ensures the development and upkeep of individual donor portfolio assignments for frontline fundraisers.

Skill, Experience & Education

  • Relatable skills and knowledge that ensure successful ownership of a customer relationship management database.
  • 3 years of accounting, customer service or fund development experience desired.
  • Prefer some experience with Raisers Edge or with CRM Software.
  • Preferred experience in managing all aspects of the donor database including processing and acknowledging gifts/pledges, running reports/queries, exports/imports, mail-merging, coding, configuration management, prospect module integration, and maintaining the integrity and consistency of all prospect and donor records.
  • Proficient in Microsoft Office suite.
  • Bachelor’s degree required.
